Q: Poingo PDF Emailer and Personal FTP Software seem to share the same setup screen. Why?

A: Both applications are integrated into one software. When you buy one, you get both. They work off of some of the same user input. For example, you set up your preferred email carrier only once. It works for both applications.

Q: I am still a little unclear. What do the two softwares do with my email?

A: PDF Emailer uses your preferred email system when it converts your document to a PDF or JPG. Once those image files are created, it opens a new email in your selected carrier and attached the file. This is a big time saver for people who create and send a lot of documents.

Personal FTP uses the same preferred email system to attach download links of your uploaded file.

Q: Why would I want to convert my document to a PDF?

A: PDF (Portable Document Format) is a way to save your document as an image which is difficult to modify. Let's say you are a salesperson. You frequently send price quotations to customers. Avoid the possibility that your customer might modify your terms or pricing. Convert your MS Word document to a PDF to lock your information. The PDF can be read by anyone who downloads the free Acrobat Reader.

Converting spreadsheets to PDF is also a good business practice. Your spreadsheet might contain underlying formulas or additional worksheets which you might not want to share. Convert only the part of your spreadsheet you want to send. It will be a snapshot of the specific area of interest, without formulas or extra sheets.

Q: Why would I want to convert my document to a JPG?

A: JPG is a picture format, most commonly used for photographs and rich images. It is easily editable in the free Paint software bundled with most Microsoft operating systems. If you create any type of graphical images, especially if grouped with text, sending a JPG of the entire document in JPF format may be the best way to convey your visual design. Your recipient can then mark it up in Microsoft Paint and send it back without touching the original source document.

Q: What kind of documents can PDF Emailer convert to PDF or JPG?

A: Poingo PDF Emailer can convert virtually any document which can be printed. This conversion takes place at the print-output stage. Poingo PDF Emailer is a virtual printer. It prints your document to PDF or JPG instead of to an actual printer.

Once you have set up your document for printing, select "Poingo PDF Emailer" or "Poingo JPG Emailer" instead of your normal printer. Poingo takes it from there. The print output is converted to your desired format, a new email automatically opens, and the new file is attached.

Q: Can I check the image before sending it?

A: Absolutely! After your document is converted, you will see a small screen offering you the options of either opening or sending the image. Click "Open" to see it first. If you like it, click "Email". To start over, click "Exit".

Q: There is a module in Poingo Preferences for file naming. What is that all about?

A: Everything Poingo does revolves around issues of efficiency and productivity. In this case, we have presented an idea that how you name your files is a key part of your productivity. Poingo advocates prefixing every file name with the date in YYMMDD (year-month-day) format followed by a hyphen. This creates an automatic chronological ordering of your files and a visual order to your work.

For those who work in tightly time sensitive environments, Poingo also automatically adds HHMM (hour-minute) to the filename, so that files are ordered down to the minute. The 4 random characters are to differentiate your file from someone else's if uploaded to a shared FTP site.

All of these file naming conventions can be overridden by the user. In Poingo Preferences, we recommend you select "Accept default filename, show file naming screen so I can modify file name". Use as much of the filename you want, then modify the rest.
